Writing Print and Sign Quote Wording With AI
What should a print quote actually say?
Everything that changes the price. A quote that only gives a total leaves room for argument later.
Wikipedia notes that a request for quotation "typically involves more than the price per item", and that quotes often include specifications so everyone is pricing the same thing.1 The same idea applies in reverse when you write the quote.
For a print or sign job, that usually means:
- What the item is (flyer, banner, vinyl sticker, rigid sign)
- The finished size, with the unit written out
- The stock, meaning the paper, board or material
- The quantity
- Finishes, such as laminating, cutting to shape or eyelets
- Turnaround, and when the clock starts
- Whether artwork setup or proofing is included
- What the price includes and excludes
How do I turn my notes into a quote with AI?
Paste in your own notes, not a customer's personal details, and tell the tool the layout you want. Something like: "Turn these notes into a quote with a line for item, size, stock, quantity, finish and turnaround. Don't add anything I haven't written. If something is missing, list it as a question for me."
That last instruction matters. Without it, a tool may fill gaps with guesses.
You supply the numbers. Your price list, your stock names, your lead times. The tool only arranges them.
What will the AI get wrong?
It can state something false in a confident voice. Researchers call that a hallucination.2
In a quote, that could look like a stock you don't carry, a finish you don't offer, or a turnaround you never promised. Read every line against the job sheet.
Watch sizes especially. Standard paper sizes differ by region. Wikipedia says the ISO standard "has been adopted by all countries in the world except the United States and Canada".3 So a customer who writes "letter" and one who writes "A4" may mean different sheets. Ask the tool to repeat the size back, and confirm with the customer when it's unclear.
What about bleed and artwork notes?
Add a short artwork line to the quote when it affects the job. Bleed is printing that runs past the trim edge, so the cut doesn't leave a gap. Wikipedia says that "Some printers ask for specific sizes" of bleed.4 That means yours may differ from a template found online.
Wikipedia also says that failing to provide bleed information and crop marks "can result in finished pieces showing a thin area of white on the edge".4 A single sentence on your own bleed requirement can save a back-and-forth. State your number from your own file specs. For email wording, see artwork problems and proofs.
Can I let the AI set the price?
No. Pricing is your decision, and a tool doesn't know your costs, your margin or your local market. Give it the price. Don't ask it to find one.
If you want the quote tied to an enquiry email, start from replying to enquiries.
Should I mention tax, terms or warranties?
Keep those to wording you already use. Tax rules and consumer law differ by country, so check your tax office or consumer regulator rather than asking an AI tool to write terms for you.
